Cancellation policy for hybrid events and conferences
Your booking is a contract. Cancellation and substitution requests must be made in writing to conferences@rcp.ac.uk. Where fees have been paid, cancellation charges will apply, as detailed below for all confirmed bookings
- No refunds will be issued for any tickets that cost £20 or less
- A full refund will be issued where you cancel within 7 days of completing your booking (providing your event is more than 21 days away)
- A 75% refund will be issued if you cancel after 8 days of completing your booking but more than 21 days before the event
- No refunds will be issued for cancellations notified within 21 days of the event
In person ticket alternative options
- If you have purchased on onsite only ticket, you can opt to transfer to an online only ticket at any point from the time of booking to 7 working days before the event.
- We will refund you the difference in the case of overpayment, or you will be required to pay the difference in the case of an underpayment
- Cancellation charges still apply

- You can opt to request a move to an onsite ticket, but please be aware due to venue capacities this may not be possible

All hybrid events will be available on-demand (OD) for a minimum of 90 days after the event. Where CPD is available, please refer to the event communications for the external CPD expiry date, after which you can self-accredit through independent learning.
The RCP reserves the right to change the programme and/or speakers at any time and without prior notice. It reserves the right in its absolute discretion to cancel the event, in which case a full refund will be issued for your booking. If the event is cancelled, the RCP is not responsible for refunding additional costs.
If payment has not been received by the date of the event, the RCP reserves the right to cancel your booking and prevent access to the digital platform.
An internet connection is required to access virtual events. No refund will be given if delegates do not access or are unable to access the virtual events for reasons beyond the organisers’ control (e.g. system firewalls, inadequate system requirements, slow internet connection, etc.)
Our platform supports:
- Mobile: Android Oreo (8.1) and later, IOS 12 and later
- Web browsers: Chrome (last two versions), Edge (83 onwards), Firefox (80 onwards).
Cancellation policy for Senior Physician Society events
Your booking is a contract. Cancellation, substitution, and transfer requests must be made in writing to conferences@rcp.ac.uk. Where fees have been paid, cancellation charges will apply, as detailed below for all confirmed bookings.
- No refunds will be issued for any tickets that cost £20 or less.
- A full refund will be issued where you cancel within 7 days of completing your booking (providing your event is more than 7 days away).
- A 75% refund will be issued if you cancel after 8 days but more than 7 days before the event.
- No refunds will be issued for cancellations notified within 7 days of the event.
- Within 7 days of the event date, the following options are available:
- Transferring your booking to another SPS event within the same calendar year.
- Only one transfer per booking.
- Cancellations made after a transfer has been carried out will be subject to cancellation charges as stated above.
The RCP reserves the right to change the programme and/or speakers at any time and without prior notice. It also reserves the right in its absolute discretion to cancel the event, in which case a full refund will be issued for your booking. If the event is cancelled, the RCP is not responsible for refunding the cost of pre-booked delegate travel and accommodation.
The RCP is not responsible for refunding the cost of pre-booked travel or accommodation and would recommend taking out suitable insurance to include the impact from strike action.

Cancellation policy for new member and new fellow ceremonies (2026)
Your booking including for guests, is a contract. If payment has not been received within 21 days of the event, the RCP reserves the right to cancel your booking.
Cancellations and requests to amend your confirmed booking must be made in writing to ceremonies.queries@rcp.ac.uk.
Where fees have been paid, the following cancellation charges will apply:
- No refunds will be issued for any tickets that cost £15 or less
- A full refund will be issued where you cancel within 7 days of completing your stage 2 booking (providing your event is more than 21 days away)
- A full refund, minus an administration fee of £15, will be issued if you cancel after 8 days of completing your stage 2 booking but more than 21 days before the event
- No refunds will be issued within 21 days of the event date
- Within 21 days of the event date, the following options are available:
- Transfer your ticket to another ceremony date with availability in the same calendar year
- In the event a ceremony is fully booked, you can transfer to the waiting list (this does not guarantee a place), your original ticket will be refunded, minus an administration fee of £15
- Please note if you later book a new ceremony, the administration fee will not be reimbursed
Within 10 working days of the event – no refunds, amendments or transfers can be made to bookings.
